Plain words about what we collect, why, and the promises we keep.

Who we are

Scapely LLC ("Scapely", "we") makes software for pool and outdoor-living builders. We are based in Louisiana, USA. Scapely is a separate company from Duplessis Pools. Messages sent to us go to Scapely only.

This policy covers two places: this website (scapely.com) and the Scapely platform (Scapely Studio, Scapely Sales, Scapely Build and Scapely's Edge).

This website

When you send our contact form, we receive what you typed: the topic, your name, company, email, phone, pools per year, current software and your message. The form sends that to the Scapely team by email. This website does not keep a copy in a database.

Our web host keeps standard server logs (your IP address, the pages you open, your browser type) for a short time, for security. This website does not use advertising cookies or trackers. If we add analytics later, we will say so here and update the date at the top.

The platform

Builders who sign up ("customers") give us account details: names, emails, company name and billing contact. Inside the apps, customers enter their own business data: pools, prices, quotes, contracts, purchase orders, vendors and the people they sell to.

Homeowners who use a builder's storefront enter their name, contact details, their design choices and, if they pay a deposit, payment details that go straight to Stripe. For that data, the builder is in charge and we act on the builder's behalf. Homeowners should contact their builder with questions, and we will help the builder answer.

We also count how the apps are used (how many quotes, how many logins, which features). We count. We do not read the contents to do it.

Our promise

Your business data is yours. We don't access your data without your permission, and every access is logged where you can see it.

  • When you need help, you grant support access. That grant is scoped to what you choose, it ends on a timer, you can revoke it, and every action under it is logged in your account.
  • In a security incident or under a lawful order we may need to act without a grant. That access is logged too, and we tell you unless the law forbids it.
  • We do not sell your data. We do not use the contents of your quotes, contracts or customer lists for anything but running your account.

AI features

Some features use an AI model to draft things for you: takeoffs, purchase orders, replies, descriptions. To do that, the data needed for the draft is sent to our AI provider, Anthropic, under business terms that do not allow the provider to train on your data. You review every draft before it is sent or signed.

Who we share with

We use a short list of companies to run Scapely. Each one sees only what it needs for its job:

  • ICDSoft hosts our servers.
  • Stripe processes payments. We never see full card numbers.
  • Anthropic powers AI drafting, as described above.
  • Backblaze stores encrypted backups.
  • Our email provider delivers the emails the apps send.
  • Services you choose to connect (for example HubSpot, QuickBooks, Square, SignNow or Dropbox Sign) receive the data you send them through that connection. Their own policies apply there.

We will also share data when the law requires it. We respond to lawful requests and tell you about them unless we are barred from doing so.

Security

  • Data is encrypted on the way to us and while stored, including backups.
  • Keys and tokens for services you connect are encrypted with a key that belongs to your account alone.
  • Backups are restored by tooling, without a person viewing the contents.
  • Real customer data never sits on a developer's computer.
  • Each login is protected by a password policy, lockout after repeated failures, and two-factor sign-in for admins.

How long we keep data

Website messages stay in our mailboxes as long as we need them to answer you. Platform data stays as long as your account is active. If an account is ended, you have 30 days to export your data, and we delete it on a schedule after that window closes. The Terms of Service spell out each step.

Your choices

You can ask to see the data we hold about you, fix it, export it or delete it. Customers can export their whole account from inside the apps at any time. For anything else, contact us and we will answer within 30 days. Scapely is for businesses and is not meant for anyone under 18.

When this policy changes, we update the date at the top. For big changes we will also email our customers.
